How Much Does a Grant Writer Cost? Grant Writing Support for Research Teams in Germany and the EU: Scope, Cost Drivers and How to Brief a Provider
What grant writing support includes, the seven factors that drive its cost, which fee models are fair and which are not, and how to brief a provider for a comparable quote.

- Main driver
- Scope, not the writer
- Fair fee models
- Hourly, daily, fixed, milestone
- Avoid
- Commission on the award
- Chargeable to grant?
- Usually not
Quick answer
- The cost of a grant writer depends on scope: scheme, concept maturity, partners, deadline and expertise.
- Fair providers charge hourly, daily, fixed or milestone fees; avoid percentage-of-award deals.
- Proposal preparation is usually not an eligible grant cost, so budget for it separately.
01How much does a grant writer cost?
The honest answer to how much does a grant writer cost is that it depends on scope more than on the writer. A focused call-fit review or edit of an aims page is a small, fixed job; full proposal development for a Horizon Europe consortium can run over months. Quotes that look far apart often describe different work, so compare equivalent deliverables, not headline fees.
This guide sets out what grant writing support can include, the factors that move the price, how providers charge, and how a research team in Germany or elsewhere in the EU can brief a provider to get a quote that means something.
02What support can include
- Strategy: call-fit screening and proposal strategy.
- Drafting: aims, impact sections and work-package planning.
- Editing: structural and language editing, harmonising partner texts.
- Coordination: budget planning support, partner-input tracking and compliance checklists.
- Quality assurance: mock review and submission-readiness checks.
- Specialist input: methods, statistics, clinical protocols, data management or impact.
Confirm in writing which of these a grant consultant includes and which are charged separately.
03What drives cost
There is no standard rate across scopes. The price depends mainly on the factors in Table 1.
| Cost driver | Lower effort | Higher effort |
|---|---|---|
| Scheme complexity | Single-investigator national call, such as a DFG Research Grant | Multi-partner Horizon Europe bid |
| Concept maturity | Aims and a draft already exist | Concept still being defined |
| Volume and partners | Short proposal, one institution | Long proposal, many partners |
| Deadline urgency | Several months available | A few weeks to the deadline |
| Expertise required | General editing | Methods, statistics or clinical input |
| Budget complexity | Simple cost categories | Multi-partner budget planning |
| Review rounds and language | One round, one language | Several rounds, German–English translation |
Reputable providers charge hourly, daily, fixed or milestone fees (Table 2). The Grant Professionals Association’s code of ethics bars its members from finder’s fees, commissions or percentage compensation based on grants [2]; treat any offer to work for a share of the award as a warning sign.
| Fee model | Suits | Watch for |
|---|---|---|
| Hourly or daily rate | Editing, mock review, open-ended advice | No cap on hours; ask for an estimate and a ceiling |
| Fixed fee per deliverable | A defined scope, such as aims page plus methods edit | What counts as a revision round |
| Milestone payments | Full proposal development over several months | Milestones tied to your drafts arriving on time |
| Commission or percentage of the award | Not recommended | Professional codes prohibit it, and it is usually not an eligible grant cost |
04Compare quotes fairly
Ask every provider for a written scope, so quotes can be compared like for like. Each should state:
- Deliverables, milestones and the number of review rounds.
- Turnaround times, exclusions and payment terms.
- Whether the provider writes, edits or coordinates, and who owns scientific decisions.
- Whether budget validation, portal submission, institutional approval or partner management are included.
05Brief a provider
A complete brief shortens onboarding and produces a more accurate quote. Share:
- The exact funding application call, deadline, scheme and target amount.
- A project summary, team CVs and current partner status.
- Institutional costing rules and the internal approval calendar.
- Draft work packages, preliminary evidence and any ethics or data constraints.
- The official templates for the call.
Name one decision-maker on the research team and agree the review turnaround for each draft. Our grant writing process flowchart shows where outside help fits in the 13 stages.
06Germany and EU considerations
Involve the German institution’s grants office, finance department and authorised signatory early. The DFG, ERC and Horizon Europe differ in eligibility, costing, submission and evaluation rules. DFG Research Grants have no fixed deadline [3], so a provider can be booked around your timetable; ERC and Horizon Europe calls have fixed deadlines, which compresses everyone’s schedule in the final weeks [4]. For an ERC bid, check the current Starting Grant rules before paying anyone to draft to an old template.
External support must respect institutional processes and confidentiality in grant proposals. The principal investigator keeps responsibility for scientific accuracy, research integrity and the final application.
07Procurement checklist
- Call and deadline confirmed.
- Scope, deliverables and review rounds in writing.
- Relevant scheme experience.
- Fee structure and payment milestones, with no success fee.
- Confidentiality and data handling.
- Ownership of files and drafts.
- Conflicts of interest and responsibility boundaries.
- Terms for cancellation or deadline changes.
Before submission, run your own grant application checklist whatever the provider has done.
